MINUTES

  1. WELCOME

    Lynda Rogers welcomed everyone and chaired the meeting as Blair Day was absent.

  2. ATTENDANCE

    Attending:    Hans Nielsen, Kate Agosta, Maria Pedersen, Linda Rogers, Carol Field, Jill Gellatly,  Serena Edmunds,
    Absent:   Michael Blair Day, Barb Downey, Joan Jackaman, John Lesey, Joy Shubat, Sandra Kirby,  Jean Keane, Nola Stacey, Holly Trevelyn, Mary Watson, Gail Hughes, Tina Stone,  John Arnott

  3. SECRETARY'S REPORT

    Please note minutes of previous meeting were not available.

  4. TREASURER'S REPORT - Carol Field presented the report

    • The balance in the Society's account was $3,192.15.
    • The Society received $513.82 from the plant sale and approx. $80.00 from the tea.
    • Last year we spent $700.00 more than what we took in.
    • Due to the increase in OHA dues to $3.00/member, increase of rental space, and the cost of speakers, judges, and future plantings the executive decided it needed to increase membership fees to keep up with its expenses.  A motion was made by Carol Field and seconded by Kate Agosta that the fees for 2006 will be raised to $15.00/member across the board and $3.00/guest.  All in favour.

  5. COMMITTEE REPORTS

    • MEMBERSHIP COMMITTEE - Tina Stone

      • Membership is approx. 75.  Deferred to next meeting as Tina was absent.  An updated list is required for the phone committee.

    • SHOW AND JUDGING COMMITTEE - Mary Watson and Barbara Downey

      • Everyone is pleased with the judges.  Many find the comments are good as they help them to learn. 

    • PROGRAM COMMITTEE - Carol Field, Sandra Kirby

      • Speakers are still being lined up for next year.  Anyone with suggestion for a speaker?  Please let Carol or Sandra know.
      • The program needs to be done by January 15, 2005 so the show books can be ready for the President's Meeting in late February and for competition in April.

    • GARDEN TOUR COMMITTEE - Maria Pedersen, John Lesey, Carl Philips

      • Garden Tour took  place on Sunday June 26, 2005.  Next year's tour will take place on Sunday June 25, 2006.

    • PHONE COMMITTEE - Jill Gellatly

      • A new membership list is still needed.

      • Please pass on any information for the website to Kate.
      • We should approach new members to see if they could help.

    • TRIP COMMITTEE -

      • 6 people enjoyed a trip to Chalk Lake Greenhouses with host Martin Galloway on Sept. 22, 2005.

    • PLANT SALE

      • The Fall Flower Show, Tea and Plant sale went well.  Thank you to all who helped out at this event.
      • For next year:  Have a normal meeting and flower show and no tea.
      • See if we could have a plant sale elsewhere in the Township - possibly in conjunction with another community event - try having a plant sale in King City.
      • Serena will inquire about the Lions Auction.

    • VICTORIA DAY PARADE - John Lessey

      • A new chair person is needed for this committee.

    • VOLUNTEER HOURS COMMITTEE - Barb Downey

      • Hours are submitted on a calendar year basis.
      • Volunteer hour slips will be available at the entrance table each month - we need to remind members to fill them out and give them to Barb.

    • SHOW BOOK COMMITTEE - Barb Downey, Kate Agosta, Mary Watson

      • The cost for the show books was over $300.00 last year.  There will be a change of printers this year as we were not happy with the quality of the printing job last year.  Program must be ready by January 15, 2006 so the new show books can be ready for the President's Meeting in late February.
      • A picture that looks good in black and white is needed for the opening page of the show book.  It should be from an Horticultural Society activity and have good structure.  Possibility is a picture of Cherry Park.
      • Kate is to call Nancy Stenhouse from the paper to see about a picture taken at the Memorial Tree planting.

    • PUBLICITY AND ARCHIVES - Hans Neilson

      • Hans has 3 boxes of items for the archives.  He will look into taking them to the library.
      • We should ask Murray McCabe about having our website as a link on their website.  We should look into the Hyperion Data Base at the Library also.
      • Hans has pictures of the Fall Tea.

    • SPECIAL PROJECTS - Sheila Jarvis, Lynda Rogers, Kathy Ball, Joan Jackaman.

      • 9 lilacs were planted in September in Wellesley Park along with 150 narcissus bulbs.
      • A hosta garden was planted in August at the King City Arena.
      • The garden by the flag pole in Wellesley Park needs to be re-done.  Kate will look into what shrubs would do well there.

    • COMMUNITY IN BLOOMS - Lynda Rogers

      • Thanks to all who were involved in this years Community in Blooms!!  The Township looked wonderful with all the barrels and baskets.
      • The Township received 4 blooms with a special recognition in Natural & Cultural Heritage.  Midland won overall.
      • The information book was very well done.
      • Community involvement was very good.  The Township was also very good at helping.  If you ever need them to do something, just let them know ahead of time.
      • The Township is looking at installing 5 village gateways this fall and to come in the future, 2 Township gateways; one in Schomberg and one at Bathurst & King Rd.

  6. NEW BUSINESS

    1. Program for Monday Oct. 24, 2005 meeting will be Garden Design by Kate Seaver.  Kate is a gardener and owner of Kate's Garden Shop.
    2. The Annual General Meeting & Banquet Potluck will take place on Monday Nov. 28, 2005 at 6:00 p.m.  Any executive who can help set up at 10:00 a.m. is asked to let Hans know.  Lynda will look after entertainment, Sheila & Maria will look after table decorations, Tina will get the juice, Jean will get the tablecloths & serviettes and cook the turkey, Serena will look after the invitations and clean-up crew.  Hans and Maria will confirm names for the invitations.

    4. Blair to make report of years activities for the meeting.
    5. Hans to do minutes at AGM.
    6. From D15 President's Meeting:  Carol or Sandra will look after sending a report that highlights our meetings this past year.  Needed are the speakers name, address and topic.  Information is to be sent to Jim Anderson at calluna@idirect.com before the end of December.
    7. Next year's D15 President's Meeting will be held on April 29, 2006 with Credit Valley Horticultural Society hosting.
    8. OHA dues are to increase to $3.00/member.  A review will be held in three years.
    9. 100th anniversary of the Ontario Horticultural Association will be held in Ottawa at the Crown Plaza Hotel on August 11 - 13, 2006.
    10. Next President's Meeting will be held on February 26, 2006.  Location still to be determined.

  7. NEXT EXECUTIVE MEETING

    Friday, December 30th, 2005 at 11:00 am, at the home of Tina Stone. Please bring a potluck for lunch
