Board Meeting on Tuesday, July 6th, 2004 at 9:30 a.m. at the home of Maria Pedersen

MINUTES

  1. WELCOME

    Hans Nielsen, Past President, presided and welcomed everyone to the meeting. Thanks to Maria for her hospitality.

     

  2. ATTENDANCE

    Attending:   Hans Neilsen, Kate Agosta, Mary Watson,  Maria Pedersen, Roz Elson, Joy Shubat, Joan Jackaman, Carol Field, Barb Downey, Carl Phillips, Tina Stone, Sandra Kirby
    Absent:   Linda Rogers, Michael Blair Day, John Lesey, Gail Hughes, Jean Keane, Nola Stacey, Jill Gellatly - It was noted that John Lesey was preparing for heart by-pass surgery and all present wished him well.

     

  3. SECRETARY'S REPORT

    Minutes of previous meeting distributed.  Acceptance moved by Joy Shubat. Seconded by Barb Downey.

     

  4. TREASURER'S REPORT

    Carol Field presented the report. The balance in the Society's account is $5,090.19.  This amount includes $722 from the Plant Sale in Nobleton and $1524.75 from the Garden Tour.

     

  5. COMMITTEE REPORTS

    • MEMBERSHIP COMMITTEE - Tina Stone and Carl Phillips

      • There are now 74 members.
      • Tina distributed an up-to-date membership list with e-mail addresses and further changes were noted.
      • Moved by Kate and seconded by Carol that owners of gardens on the Tour be given a complimentary 1-year membership in the Society.

       

    • SHOW AND JUDGING COMMITTEE - Mary Watson and Barbara Downey

      • Discussion of the question of whether to have prize ribbons. It was decided not to have them, since a majority of members prefer to have a monetary prize that can then be used to further beautify their garden.
      • It was noted that now that there are fewer categories in which to enter, it is more difficult to have a lot of entries because of weather delaying or speeding up maturation of plants. It would still be good to have more people entering the competitions and everyone is encouraged to bring in some items each month.

    • PROGRAM COMMITTEE - Carol Field, Sandra Kirby, Joy Shubat

      • The Yoga class that takes place above our meeting room is disruptive, but no answer was found for the problem during discussion.

    • FLYER COMMITTEE - Jill Gellatly and Sheila Jarvis

      • It looks as though there are adequate numbers of flyers to last until the end of the year.

    • GARDEN TOUR COMMITTEE: Maria Pedersen, John Lesey, Carl Phillips.

      • A sincere vote of thanks was extended to Maria Pedersen for her outstanding work in organizing yet another successful Garden Tour. It was noted that people comment that they drive up from Toronto to come to the Nobleton/King Garden Tour because "it is the best!".
      • Moved by Joy Shubat and seconded by Carol Field that Maria be given $140 as a token gesture towards the gas she uses while organizing the tour.
      • Many thanks also to John Lesey for his good work in making the signs. He uses materials he already has which is a good use of resources, but if more are needed, Roz asks that some of the old election signs in her garage be used. They are also available for anyone who'd like to make Garage Sale signs, etc.
      • The low signs saying "Garden Tour" or "Park on Road" are hard to see. Balloons will help next year but Maria will need more help to put them up.
      • Discussion on need to contact local garden societies such as Newmarket, Schomberg and Woodbridge to avoid having Garden Tours on the same day or weekend. Best to do this as early as October before next year's dates are chosen.

    • REFRESHMENT COMMITTEE - Jean Keene and Joy Shubat.

      • The refreshments provided by the Nobleton and King City Horticultural Society at the May 1st District 15 meeting in Woodbridge were very good and much appreciated. The  amounts were just right. Well done, Joy.

    • PHONE COMMITTEE - Jill Gellatly

      • List update, thanks to Tina's husband. Tina is to give the new list to Jill Gellatly for the phone committee. Next year it would be a good idea to call the new members about the Garden Tour as many of them do not know what it is all about.

      • Kate still needs content for the site, PLEASE! Also, please take a look at the site, to appreciate Kate's hard work.

    • TRIP COMMITTEE -

      • Carol has arranged an interesting trip to Port Perry for Tuesday, July 27. It includes a boat ride as well as gardens to look at. Contact Carol at 905-833-3324 if you would like to go on the trip.

    • PLANT SALE COMMITTEE - Mary Watson, Kate Agosta, Barb Downey, Michael Blair Day.

      • Since Joy has sold plants from her home since the May 24 Nobleton Sale, the total earned now stands at $807.Thanks very much, Joy!
      • Also, many thanks to John Arnott, who donated a massive number of plants to the sale. Those helped to make the sale so very successful.
      • Kate Agosta noted that the Spring Bulb Sale, which she organized, brought in $242. We are hoping to earn even more with the fall bulb sale.

    • VICTORIA DAY PARADE COMMITTEE - John Lesey.

      • John Lesey did a wonderful job with the float, the Maypole and all. Thanks, John!

    • VOLUNTEER HOURS COMMITTEE - Carl Philips.

      • Hans had his hours listed up to July as an example of how they can add up if you keep track. He suggests everyone write the hours they spend on a calendar as they volunteer so they are easy to tote up.

    • SHOW BOOK COMMITTEE - Barb Downey, Kate Agosta, Mary Watson

      • Our book won second place this year. It would have had to have more photos to have earned a higher place and that would have meant a more costly book. Consensus was that it wasn't worth the extra cost.

    • DRAW TICKET, DOOR PRIZES COMMITTEE - Joan Jackaman and Linda Rogers

      • Not being run this year, but if people see items that could be collected for prizes, by all means give them to Joan or Linda.

    • PUBLICITY - Hans Nielsen

      • Hans has sent articles and notices to many many newspapers and magazines.
      • Hans appreciates ideas for columns, if any one has any.


    • ARCHIVES - Hans Nielsen, with the Assistance of John Arnott

      • Hans has 2 tote boxes of material that needs working on. He still has to sit down with John Arnott to identify people in photos. Tina Stone has some materials at her home that need to be given to Hans. We have to keep in mind that 2008 will be the Society's 50th Anniversary and that will demand special effort and forethought to organize suitable celebrations.

    • MEETING & SET-UP - John Lesey, Carl Philips, Joy Shubat, Jean Keane

      • This is working very smoothly this year. Thanks to all involved in making it go so well.
      • Discussion on the timing of the refreshments. Since so many members have to arrive early, to set up or enter into the competitions, it is nice to have the refreshments available from 7.30 pm on. It enables people to have a social time until 8.00 when the meeting starts. At 9.30 or 10 pm, most people want to get home rather than chat. Therefore the timing will stay as it is.

    • COMMUNITY IN BLOOMS - Lynda Rogers

      • Joan Jackaman reported. Lynda Rogers is working on C.I.B. full tilt and Joan has just completed the Judges Book after 180 hours of work. Things are going better than last year though there is still a way to go. The Judges coming to King Twp. on Monday Aug. 9 to start the judging will be Shauna Dobey from a gardening magazine and Ed Lawrence, Head Gardener at Rideau Hall and well-known CBC Radio Noon Phone-In personality. "Tapestry ", the local magazine, will feature King Twp. horticulture in its Fall Issue.
      • The judges will be in King for 3 days and many events are planned - at Seneca, at the Pottageville Pavilion, etc.
      • The Blooms front garden competition will be part of the event and judges are needed to commence the judging next week.
      • Catherine Purcell of the Twp. Parks and Recreation Dept is very much on board and has even come up with some 1836/37 roses for planting at the Lloydtown Monument. Everyone can help, however, so feel free to deadhead and pick up garbage whenever the opportunity arises to do so.

    • The committee is active and will report on its progress soon.

      6.    NEW AND OTHER BUSINESS

      1. The OHA annual convention will be held in London, Ont. this year, Aug 13 - 15. We need to discuss the issues to be voted upon before our delegates go to the meeting, however the information was not available for debate at this meeting. Our delegates will be Kate Agosta and Barb Downey. There will be daily $30 registrations available for people who want to attend part of the events. It will be held at the Hilton Hotel. Registration before July 13 is cheaper ($50). Moved by Joy Shubat and seconded by Mary Watson that Kate and Barb share $500 towards their expenses to represent us.
      2. The King Garden Competition will be held next week. This year people were asked to sign an entry form so that the judges could enter private property during their deliberations. Judging has to be done July 12 -16 and it must be done on the same judging sheet (two exist). Carol Field agreed to be in charge of getting enough judges, setting up the timetable and itinerary and providing consistent forms for judging.
      3. Joan Jackaman pointed out the need for T-shirts for members to wear while they are volunteering. The shirt needs to have "Volunteer at Work" on the back, and a horticultural logo on the front. The shirt doesn't need to be fancy or expensive. Moved by Tina Stone and seconded by Joy Shubat that Joan price T-shirts on the market, logo transfers, and get a minimum order done.
      4. There is a need for people to volunteer to work on the OHA desk at the CNE. An application form is available, probably from Blair.
      5. A number of new projects were mentioned as possibilities, such as a Heritage Garden, a Healing Garden, and a Maze. It was felt that since members are already over-extended with looking after the flower beds already planted, low maintenance was the way to go. A Xerographic garden as an example to Township residents was mentioned, as was a Wildflower garden. Joan Jackaman has a suitable vacant lot in mind that could be turned into a Wildflower Garden. She will consult with Miriam Goldberg of the Wildflower Farm, King Twp. Barb Downey and Kate Agosta agreed to be on a committee with Joan. Hans mentioned his idea of a Lilac Garden at Wellesley Park. Joy mentioned that she knows of some lilacs that are going to be moved. Perhaps members could donate lilacs to the park and gradually build up a good show.
