Board Meeting on Thursday, Feb. 12th, 2004 at 9:30 a.m. at the King City Senior's Centre

MINUTES

  1. WELCOME

    Lynda Rogers, Vice President, presided and welcomed everyone to the meeting.

     

  2. ATTENDANCE

    Attending:   Hans Neilsen, Kate Agosta, Mary Watson, Joan Jackaman, Maria Pedersen, Roz Elson, Gail Hughes, Joy Shubat,  Linda Rogers,  Carol Field,  Carl Phillips and Sandra Kirby
    Absent:   Michael Blair Day, Barb Downey,   Jean Keane, Nola Stacey, John Lesey,  Jill Gellatly, Tina Stone

  3. SECRETARY'S REPORT

    Minutes of previous meeting distributed. Acceptance moved by Hans Neilsen, seconded by Joy Shubat. Roz and Blair will endeavour to have the minutes distributed in a timely fashion to the executive, before the meetings. 

  4. TREASURER'S REPORT

    Carol Field presented the report. The Auditors have examined the books and agree that the balance for 2003 was $3, 725.42. Acceptance moved by Carol and seconded by Joy Shubat.

  5. COMMITTEE REPORTS

    • MEMBERSHIP COMMITTEE - Tina Stone and Carl Phillips

      • Hans has sent the information on membership numbers and 2004 speakers to the OHA.
      • An accurate e-mail address list still needed.
      • Jill and Blair working on the phone list. Jill has done a fine job with the list.

    • SHOW AND JUDGING COMMITTEE - Mary Watson and Barbara Downey

      • The matter of ribbons for prizes is still to be discussed. Hans tabled a pamphlet on ribbons and prices.


    • PROGRAM COMMITTEE - Carol Field, Sandra Kirby, Joy Shubat

      • Speakers are all confirmed. The Speakers List has been incorporated into the 2004 Pamphlet and Show Book. It looks like a great list. Costs discussed.

    • FLYER COMMITTEE - Jill Gellatly and Sheila Jarvis

      • Hans will distribute the flyers. Lynda to be in touch with Jill and Sheila to thank them for their great work.
      • Maybe next year "brag" a bit more, i.e. "sell" the speakers by pointing out how well-known or experienced they are.

    • GARDEN TOUR COMMITTEE: Maria Pedersen, John Lesey, Carl Phillips.

      • Maria needs more Garden Tour signs, and more gardens in Nobleton.

    • REFRESHMENT COMMITTEE - Jean Keene and Joy Shubat.

      • Joy is to pass around a list for volunteers to provide refreshments at the meetings.
      • There is $70 in the committee kitty, and $50 in the bank.

    • PHONE COMMITTEE - Jill Gellatly

      • New list was passed around. Blair to distribute it.

    • WEBSITE - www. altflora.com/nobleton. Kate Agosta.

      • Kate needs contributions for the website - book reviews, upcoming events, 2-3 lines on the next month's speaker, recipes (the Moroccan Stew recipe Kate posted on the website was a very good one). Send all contributions to Kate electronically if at all possible - it saves her a lot of time. Photos should be scanned, please.

    • TRIP COMMITTEE -

      • This committee still needs members.
      • Schomberg has invited us to go to Canada Blooms on the bus they have arranged for on Thursday, March 4.  Information has been in the local papers.
      • Maria passed around a sheet from Canada Blooms asking for volunteers. If you volunteer, you get in free and early - something to think about for next year.

    • PLANT SALE COMMITTEE - Mary Watson, Kate Agosta, Barb Downey, Blair Michael Day.

      • The theme for the 2004 Victoria Day Parade is a Victorian Tea Party. A flyer was passed around that outlined the planned attractions such as a Tea Room and Pearly King. Wear Victorian clothes if you can. There will be croquet and a cricket match.
      • Request that people attach a picture of the kind of plants brought to the sale so the buyers can see what they're getting.
      • Our booth will be in a different place this year - we request that it will be a quiet place.

    • VICTORIA DAY PARADE COMMITTEE - John Lesey.

      • The Lloydtown rebels and Queen Victoria will be in the parade.

    • VOLUNTEER HOURS COMMITTEE - Carl Philips.

      • The report has to be in by Feb. 29, 2004.

    • SHOW BOOK COMMITTEE - Barb Downey, Kate Agosta, Mary Watson

      • The book is ready, and Barb was picking the book up at the printers. Unfortunately it was not possible to have them at the meeting.

    • DRAW TICKET, DOOR PRIZES COMMITTEE - Joan Jackaman and Linda Rogers

      • Joan Jackaman will gladly take high quality donations as prizes for the draw. The committee has almost run out of prizes. The Executive affirmed that the event is enjoyed by the members and also makes quite a bit of money.

    • PUBLICITY - Hans Nielsen

      • Hans has sent the 2004 schedule to the Toronto Botanical Garden, the Canadian Gardening Magazine, and the Day Tripper.
      • He has several more articles waiting to be published in the local King papers.

    • ARCHIVES - Hans Nielsen, with the Assistance of John Arnott

      • Lynda wants to encourage people to take archival material to the Victoria Day Parade Plant Sale for display.

    • MEETING & SET-UP - John Lesey, Carl Philips, Joy Shubat, Jean Keane

      • It was decided to do without outside help to set up the meeting room
      • Hans Nielsen has the PA system at his home for safe-keeping. Encourage speakers to use it.

    • COMMUNITY IN BLOOMS - Lynda Rogers

      • Sub-committee meetings have taken place. The entry form is ready. A "release" must be signed this year.
      • There will be a Mayor's 5 Bloom Award.
      • There will be 75 half-barrels at each community focal point in the Township, maintained by the Township.
      • The Park budget needs 3 full-time staff with horticultural background to address the concerns raised with the community assessment.
      • Landscape Ontario was an excellent event and is recommended to all interested in landscaping, what's new in plants, etc.
      • Gateways to the communities are being tendered.
      • Involvement of both Horticultural Societies from King Township is encouraged.
      • Think about what the judges should be shown this year - more gardens are needed, especially environmentally conscious ones.

    • AWARDS COMMITTEE - Barb Downey, Carol Field, Hans Nielsen.

    • SPECIAL PROJECTS - Sheila Jarvis, Lynda Rogers, Kathy Ball, Joan Jackaman

      • Budget and ideas/plan needed. Lynda would like to know what funds might be available for special projects.
      • Donations to Communities in Bloom to be discussed in the future.

  6. NEW AND OTHER BUSINESS

    1. OHA magazine passed around. Funding for projects pointed out. President's Meeting for District 15 Feb 29 in Mississauga. Hans and Kate will go.
    2. Garden Tour Poster looks really great. Decision to leave the cost of the tour the same, at $8.00.
    3. Vesey Bulb fund raiser - encourage people to buy gladiola. Flyers for summer bulbs need to get to people before the March meeting, as the orders need to be in to Kate at the meeting itself. Suggestion that the phone captains each receive a flyer and then phone their list to solicit orders.
    4. Re. tree planted in memory of Elsie St. Jacques: Joan has the information and will get a plaque made for the tree. Ceremony to be held at 6:30 pm before the April 26th meeting. The phone captains will invite people to come early for the ceremony. Meet at Hill Farm Meadows. Hans will call John Arnott and/or Barb Downey to see if one will MC the event. Kate and Joan will take photographs. The Publicity Committee will invite photographers from the local papers. Roz will invite the donors to attend.
    5. Township of King wants  people to attend a meeting in the Nobleton Arena on March 9, 7 - 10 pm, on the use of Community Facilities.
    6. Lisa Wolfram needs entrants for the Success with Gardening Show, March 18 - 21 at the International Centre, Airport Road.
    7. The Ministry of Citizenship and Immigration wants nominees for Volunteer Recognition Awards.
    8. The Canadian Rose Society AGM is to be held March 21, 2004
    9. Nobleton & King City Horticultural Society has to serve refreshments at the OHA District 15 meeting in Woodbridge on Saturday, May 1st. There will be about 125 people. Note that the facility is a peanut-free zone. Hans, Kate and Joy will take care of this. A door prize is also needed. We will buy a hand tool set ($26) from Kate as the prize.
    10. An interim plan for the Old King Road project is to plant the space with Vesey's summer bulbs and flowers for this year.
    11. Thanks to the Senior's Centre for the use of their facilities and to Hans for his gardening that makes the Centre look so attractive.
