Board Meeting on Monday, Dec. 29th, 2003 at 11:00 a.m. at the home of Tina Stone, King City

MINUTES

  1. ATTENDANCE

    Attending:   Hans, Michael Blair, Kate, Barb, Mary, Maria, Jean, Roz, John L., John A., Joy, Jill, Linda, Carol, Tina and Sandra
    Absent:   Joan Jackaman, Carl Phillips, Nola Stacey, Gail Hughes.

  2. SECRETARY'S REPORT

    Minutes of previous meeting had been distributed. The following changes were made: Page 1 - Item 5, Correspondence: "New Show Books" should read "Publication 34". Deadline for grants is January 31, 2004. Acceptance moved by Jill Gellatly, seconded by Carol Field.

  3. TREASURER'S REPORT

    Balance almost $3,007.86. Life membership costs need to be shown as paid on Membership Report (noted by Hans Nielsen.)

  4. COMMITTEE REPORTS

    • MEMBERSHIP COMMITTEE -Tina Stone and Carl Philips

      • New cards are needed. Changes to be made: date and name of Society. Society website - www.altflora.com/nobleton - to be added to card. Need $200 to cover costs of new cards. Moved by Tina Stone, seconded by John Lesey.
      • Members should please give Tina their e-mail addresses, to be included in future up-dates of the membership list.

    • SHOW AND JUDGING COMMITTEE - Mary Watson and Barbara Downey

      • Discussion of awards: Blair to look into whether ribbons might be given for Best Arrangement/Cultural. The "bests" should be put on a special table. Honourable Mentions to be granted as warranted.

    • PROGRAM COMMITTEE -Carol Field, Sandra Kirby, Joy Shubat

      • Dates for 2004 meetings: March 22, April 26, May 31, Garden Tour Sunday, June 27, June 28, August 23, September 27, October 25, AGM November 22. Most of the speakers are signed up, for example, Henry Koch of Guelph University who will speak on May 31. Some of the speakers are quite expensive.

    • FLYER COMMITTEE - Jill Gellatly and Sheila Jarvis

      • 500 copies of flyer to be printed. Maria Pedersen's number needs to be put on flyer for the Garden Tour. Note: "Getting a Jump on Spring" is to be held at the Toronto Botanical Garden (formerly the Civic Garden Centre) on February 22, 2004.

    • GARDEN TOUR COMMITTEE: Maria Pedersen, John Lesey, Carl Philips.

      • John will make sandwich board signs. Date is Sunday, June 27th.

    • REFRESHMENT COMMITTEE - Jean Keene and Joy Shubat.

      • Refreshment Committee is to give a report and the balance of monies collected to the Treasurer, Carol Field.

    • PHONE COMMITTEE - Jill Gellatly

      • Kate needs assistance with the website - Barb Downey and John Arnott will help. There will be more photographs on the site and the site now includes Communities in Bloom and the latest edition of the Executive Meeting Minutes.

    • TRIP COMMITTEE -

      • The trips taken so far have been very successful. Jill Gellatly will look for 2 people to be on this committee for 2004.

    • PLANT SALE COMMITTEE - Mary Watson, Kate Agosta, Barb Downey, Blair Michael Day.

      • The theme for the 2004 Victoria Day Parade is Victorian.

    • VICTORIA DAY PARADE COMMITTEE - John Lesey.

      • John needs more help, especially with putting tulips and other flowers onto the float before the parade. He also needs as many tulips as people can give him. Hans Nielsen, Joy and Frank Shubat will volunteer.

    • VOLUNTEER HOURS COMMITTEE - Carl Philips.

      • All members of the Society who have put in any volunteer hours on behalf of the Society must let Carl know how many hours there were, in which categories, before February 29, 2004. The categories are:
        1. Planting and preparation
        2. Maintenance
        3. Youth activities
        4. Eexecutive and board meetings
        5. Other, such as the plant sale and garden tour.

    • SHOW BOOK COMMITTEE - Barb Downey, Kate Agosta, Mary Watson

    • DRAW TICKET, DOOR PRIZES COMMITTEE - Joan Jackaman and Linda Rogers

    • PUBLICITY - Hans Nielsen

      • Hans will continue to write his well-appreciated column for the King newspapers. Kate Agosta will put announcements of our meetings into Bolton paper in an effort to get bigger turnouts to hear the good speaker line-up for 2004.

    • ARCHIVES - Hans Nielsen, with the Assistance of John Arnott

      • Hans has several boxes of records and photo albums in safekeeping at his home. He passed around an interesting album of the activities of 2003. After the records are sorted and as much identification of those in photographs as possible done, consideration will be given to putting the documents into the King Township archives at the King Library.

    • MEETING & SET-UP - John Lesey, Carl Philips, Joy Shubat, Jean Keane

      • Lynda Rogers will look into finding 2 Nobleton teenagers to volunteer to help with the table and chair set-up at 6:30 pm on meeting days.

    • COMMUNITY IN BLOOMS - Lynda Rogers

      • The 2 King Township Horticultural Societies asked to help with a 2004 Beautiful King contest or front yard garden competition. On-line nominations, photos, preliminary judging etc. on Township Website.
      • Lynda would like to have a co-chair with high profile in the area to assist with fund-raising. (Township allocating $6 - 10, 000.)
      • There will be 20 half-barrels at each community focal point in the Township, maintained by the Township.
      • The Park budget needs 3 full-time staff with horticultural background to address the concerns raised with the community assessment.
      • If anyone has concerns about the work done by the Parks and Recreation staff, Catherine Purcell (905 - 833-5421) would like to be approached first so she can pass the advice on to her staff herself.
      • Gateways to our communities with illuminated signs being discussed.
      • Landscape Ontario - Carol Field, Lynda Rogers, Sheila Jarvis and Catherine Purcell to attend.
      • Committee to make a presentation to Twp. Council on Jan. 12 or 26 with Comm. In Bloom Judge Ben Schoo to give the members information on the program.
      • New Committee - Plant Committee struck. Members: Lynda Rogers, Sheila Jarvis, Maria Pedersen. Moved by Joy Shubat and seconded by Jean Keane that the Society give the committee $200 to supplement the Township's contribution to buy wholesale bedding plants. This amount can be increased if necessary, or balance refunded to the Treasury.
      • Plans are underway for an April Clean-up Day. Twp. May make new recycling, compost bins etc. available. Date - April 22, Earth Day.

    • YOUTH COMMITTEE - Lynda Rogers

      • Two teachers at the Nobleton School now do clean-ups. Carol Field got a landscape plan for the school door area.
      • Moved by Hans Nielsen and seconded by Kate Agosta that this committee be retired.

    • AWARDS COMMITTEE - Barb Downey, Carol Field, Hans Nielsen.

    • SPECIAL PROJECTS - Sheila Jarvis, Lynda Rogers, Kathy Ball, Joan Jackaman.

      • Old King Road project postponed last year. Could be a model, drought resistant garden - low maintenance. To be discussed in February.

  5. NEW BUSINESS

    1. Kate Agosta proposed a Fund Raiser such as the Vesey Bulb sale last year. Joy Shubat will give Kate some other fund raiser catalogues.
    2. Mary Watson showed a lovely sample poster for the Garden Tour, 2004, of an iris.
    3. Hans Nielsen pointed out that a plaque is needed for the tree planted at Hill Farm Meadows in memory of Elsie St. Jacques. Also, an official dedication needs to be planned and those who donated money for the tree should be present at the ceremony.
    4. Community in Bloom - Linda Rogers reported. Best marks for Environment and Community involvement. Floral aspect needs to be pursued, and Sheila Jarvis has agreed to look after that. A display garden for Nobleton to be designed for November. Photo albums and reports may be looked at.
